Overview
myPay – Timesheet for contract employees, Automating the payment process of the contract resources in any industrial domain. Workflow incorporated for approval process. Collective approval for managers. Integrates with SAP, automatically creates Service Entry Sheet. Creates notification mails to concern parties at every stage.
Business Requirement
  • In most of the organizations, around 60% of the employees are contract resources, considering various aspects, Timesheet process of the contract resources are not incorporated within SAP and are handled manually.

  • Contract resources are procured through managed services, in which a vendor will supply the resources and raise the invoice against the approved timesheet.

  • Every month end, Accounts Payable team will have an overhead of verifying contract employee timesheets against the vendors invoice and manually creating the Service Entry Sheet within the SAP System.

  • Since the process in manual, collective approval cannot be achieved.

  • Service Entry Sheet within SAP is created manually once the timesheet is approved. Hard copy of the approved timesheet to be submitted to the concern vendor
Limitation of Existing Process
  • Three-Way Check : Being manual process, Man hour validation to ensure the numerical and monetary accuracy will not be effective. There must be a mechanism to establish three-way check among PO, Services Delivered and vendor invoice to verify invoice effectively.

  • Administrative : Approving hundreds of timesheets every month manually is a significant administrative overhead of Human resource department. Collective approval will not be possible with the manual approval process.

  • Project based Tracking : It is important to ensure the allocation of hours worked to the correct projects and cost centres in case the contractor works on multiple projects during the contract period. Project based tracking will allow the management to take the necessary measure in resource allocation.
  • Historical data and Data Intelligence : Management perspective, Analysis of historical data is the data source for decision making.

  • Achieving the solution for maintaining contractor timesheet in SAP without additional cost on licensing, myPay is an ASP .Net solution, which integrates with SAP to create the SES (Service Entry Sheet) with the SAP System.
